Key terms in attendance systems, biometrics, and access control

Absence Management System

An absence management system is a digital solution that automates the recording, approval, and monitoring of employee absences. It enables managers and HR departments to manage vacations, sick leave, business trips, and remote work without manual forms.

Access Control System

An access control system manages entry to buildings, premises, and specific areas using fingerprint or facial biometrics, or through cards, PIN codes, or QR codes.

Anti-passback

Anti-passback is a security feature of access control systems that prevents repeated entry using the same card or identifier without a recorded exit. The system tracks entry-exit logic to eliminate unauthorized access.

Attendance

Attendance is the process of recording employee presence at the workplace. It serves to monitor when and how long employees work, and is essential for payroll calculation, work schedule planning, and compliance with labor regulations.

Attendance Recording Methods

Methods employers use to track employee work hours, including three main approaches: manual records (paper or Excel), electronic systems (RFID cards, biometric readers, mobile apps), and hybrid solutions combining manual and digital methods.

Attendance Sheet

An attendance sheet (also called a timesheet) is a document or digital record used to track employee presence at the workplace. It contains precise data on arrival and departure times, breaks, vacation usage, sick leave, and medical visits.

Attendance System

An attendance system is used to record the working time of employees in a company. It can take the form of paper documentation, spreadsheets, or electronic information systems that automatically log employee arrivals and departures.

Attendance Tracking

Attendance tracking is a systematic record of employee presence and departure from the workplace. It serves to monitor working hours, track attendance, calculate payroll, and ensure compliance with labor regulations.

Catering System

A catering system is a technological solution for managing and recording employee meals in companies, schools, and organizations. It enables efficient meal distribution through identification methods like biometric readers or RFID cards.

Facial Biometrics

Facial biometrics is a form of biometric data processing focused on face recognition to verify identity. It is used in attendance and access systems, airports, and online services requiring user authentication. The system captures facial data points and converts them into encrypted hash codes.

Fingera

Fingera is a modern electronic system used for attendance tracking, access control, and catering management. It uses biometric technology including fingerprint recognition and facial recognition. Fingera is provided by Innovatrics, a global leader in biometric technology.

Fingerprint

A fingerprint is the unique pattern of ridges and grooves on a human finger that can be captured and analyzed for identification purposes. This biometric identifier is used for device unlocking, payment authorization, building access, and attendance tracking.

Leave Request Form

A leave request form is an official document (paper or electronic) that employees use to formally request time off. It serves as formal approval documentation and creates a record for payroll and human resources purposes.

Liveness Detection

Liveness detection is the ability of a biometric system to distinguish between real live signals and fake signals (fraud attempts) using detection of photographs, videos, masks, and other impersonation attempts. It protects attendance and access systems from spoofing.

RFID Reader

An RFID reader is a device that reads and writes data from RFID chips or cards through radio waves, enabling contactless identification of people or objects for efficient access management and attendance tracking.

Vacation / Paid Leave

Vacation is a period of paid leave that employees are entitled to during their employment. It serves to ensure rest and regeneration of the workforce and is part of the basic labor rights of every employee.

Work Report / Timesheet

A work report is a document that records work performed by an employee during a specific time period. It contains information about hours worked, projects, tasks, and activities.

Working Time Records

Working time records document employee attendance and hours worked, which employers are required to maintain under labor law. This documentation tracks when employees begin and end work, including overtime, night work, and on-call duty.
